PROPOSAL COORDINATORS support Proposal Managers by handling the administrative aspects of proposal development. Proposal development can include the creation of written responses to formal requests from prospective and current customers of Talkdesk, such as Requests for Proposal (RFPs), Requests for Information (RFIs), or Due Diligence Questionnaires (DDQs), all of which the Proposal Coordinators would support. In addition, proposal coordinators would be expected to prepare first drafts of responses using materials from Talkdesk’s content library, perform proofreading and light copy-editing, and ultimately would be responsible for running small projects independent of a Proposal Manager as capacity demands.

The main responsibilities of a PROPOSAL COORDINATOR include:
- Proposal Administration

- Schedule review meetings and workshops based on timelines provided by a proposal manager
- Use Responsive (formerly RFPIO) to shred RFx documents and import questions and requirements into a collaboration workspace.
- Perform initial set-up steps for projects, including creating project steering documents from templates and setting up communication channels in Slack
- Complete other ad-hoc tasks as requested by Proposal Managers
- Proposal Writing and Development

- Run Responsive’s “AI Draft” tool on new projects and review AI-generated responses for accuracy.
- Use the Talkdesk Content Library to write first drafts of responses
- Proofread and copy-edit responses written by subject matter experts
- Project Management

- Drive the completion of due-diligence questionnaires
- Develop relationships with sales team members within an assigned territory
- Under the mentorship of a Proposal Manager, run end-to-end RFx projects for commercial sales opportunities.
To apply, you must be an expert on the following requirements:
- 0-2 years of experience in office administration, technical writing, or proposal management for SaaS, cloud, or enterprise technology companies.
- Either an Associates degree in writing, communication, marketing or business; or two years of compensatory experience in a role that required writing.
- Strong interpersonal communication skills, with the ability to work with cross-functional teams.
- Self-starter mindset, able to quickly learn AI LLM tools: Gemini, ChatGPT, Perplexity, Claude etc.
- Strong writing, research, editing, and project management skills.
- Ability to collaborate effectively with technical and non-technical stakeholders.
It will also be favorable if you are knowledgeable in:
- Bachelor’s Degree in writing, communication, marketing or business
- APMP Foundation certification or higher.
- Experience within a contact center in any capacity.
- Experience with sales training and enablement.
- Familiarity with compliance frameworks (e.g., SOC 2, HIPAA, GDPR) and enterprise security standards is a bonus.
- Demonstrated expertise in developing content for RFPs, RFIs, and information security questionnaires.
- Experience in using RFP tools such as Responsive, Loopio, Ombud, or other RFP software applications.
The successful candidate must submit the following pre-employment requirements
- Scanned copy of valid NBI Clearance
- Accomplished Medical or PEME Slip (covered by KMC)
- 2x2 & Half body picture with white background
- Proof of government numbers (TIN, SSS, Pag-ibig, & Philhealth)
- Photocopy of 2 valid IDs – front & back (government-issued)
- Clear copy of your Birth Certificate (PSA or NSO)
- Accomplished HR Forms & Promissory Note (will be provided by KMC’s Onboarding Team
