The Director, Manila Office & Financial Systems has two responsibilities. He leads the Manila office. He also serves as the PDI super user for the company.
As Office Director, he oversees the administrative team and is accountable for office rules, HR policy compliance, and office standards. Each team in Manila still reports to its own department head in the US. The Director does not run department work. He partners with department heads on performance reviews, KPIs, and related items.
As PDI super user, he works with the Finance team to support the financial setup and administration of PDI. He learns how each department uses the system. He stays ready to assist the Fuel and Accounts Receivable (AR) teams when needed.

The main responsibilities of a DIRECTOR, MANILA OFFICE & FINANCIAL SYSTEMS include:
Office Leadership & Administration:
- Lead the Manila administrative team and office support functions.
- Manage office facilities, equipment, vendors, and day-to-day office needs.
- Support business continuity planning for the Manila office.
- Act as the main point of contact between the Manila office and US leadership on office matters.
Office Compliance & HR Policy:
- Enforce office rules, HR policies, and company standards for all Manila staff.
- Keep office procedures documented, current, and shared with all employees.
- Serve as first point of contact for office conduct and policy concerns.
- Escalate serious matters to US HR and the responsible department head.
- Work with US HR on onboarding, attendance, leave, discipline, and offboarding.
- Make sure local employment requirements are met and employee records are accurate.
Partnership with US Department Heads:
- Join department heads in performance reviews for their Manila team members.
- Help set, track, and report KPIs with each department head.
- Give department heads office-level input on attendance, conduct, and policy compliance.
- Support clear and timely communication between Manila teams and their US leaders.
PDI Super User & Financial Systems Support:
- Become the subject matter expert on the PDI system.
- Work with Finance to support system setup, configuration, and administration.
- Help maintain system accuracy, user access, and data quality.
- Document processes, setup steps, and user guides.
- Learn how each department uses PDI. Identify gaps, errors, and training needs.
- Provide guidance and first-level support to PDI users.
- Work with the PDI vendor and US Information Systems when issues need escalation.
Backup Support for Fuel & Accounts Receivable:
- Stay trained and ready to support Fuel and AR when needed.
- Help with routine tasks, reviews, and peak workloads.
- Follow Finance controls, approval rules, and audit standards at all times.
Process Improvement & Documentation:
- Develop and maintain office policies and procedures that improve efficiency and reduce risk.
- Identify areas for improvement and lead initiatives that strengthen accountability.
- Keep clear records so that processes can be audited and handed over.
Authority & Boundaries
The Director has authority to:
- Enforce office rules and HR policy in the Manila office.
- Provide formal input on reviews and KPIs alongside department heads.
- Support PDI setup and administration within Finance’s direction.
The Director does not:
- Direct the daily work of department teams. Department heads own that.
- Make final decisions on pay, promotion, or termination without US HR and department head approval.
- Change PDI settings or financial controls without Finance approval.
Key Relationships
- Internal: US department heads, VP of Finance, VP of HR, SVP of Information Systems, Fuel and AR teams, and the Manila administrative team.
- External: PDI vendor, KMC, and local service providers and authorities.
To apply, you must be an expert on the following requirements:
- Bachelor’s degree in Business Administration, Accounting, Finance, or a related field.
- Minimum 8 years of experience, including at least 3 years in a leadership role.
- Strong knowledge of HR practices, office administration, and policy compliance.
- Experience with ERP or financial systems. PDI experience is preferred.
- Working knowledge of accounting concepts, especially AR.
- Strong leadership, coaching, and team management skills.
- Excellent written and spoken English, plus strong organizational and analytical skills.
- Proficiency in MS Office Suite.
