The Employment Contract Management Specialist provides temporary operational support to the Contract Management Team to address the increased volume of contract management activities arising from client ramp-ups and the subsequent stabilization period across multiple accounts and business units. This engagement has been established to support a temporary surge in Contract Management requirements associated with these business activities. The undertaking is currently expected to conclude on or before December 31, 2026.
The role is responsible for the review, preparation, processing, execution, and administration of employment contracts and related documentation while supporting the broader Contract Management function. The position works closely with stakeholders across Onboarding, Recruitment, Operations, Payroll, and other support teams to ensure timely, accurate, and compliant contract management activities. This engagement supports multiple accounts and business units and is not intended as dedicated coverage for a specific employee, client account, or temporary replacement assignment.

The main responsibilities of a EMPLOYMENT CONTRACT MANAGEMENT SPECIALIST include:
- Liaise with relevant stakeholders to ensure employment contracts, job offers, amendments, addendums, and contract extensions are reviewed and approved by the appropriate parties prior to execution.
- Draft, process, and administer employment contracts and contract-related documents, ensuring completeness, accuracy, and compliance with established procedures.
- Support the Contract Management Team in managing increased contract volumes across multiple accounts, business units, and employee populations during the client ramp and stabilization period.
- Monitor contract status and coordinate with stakeholders to ensure timely execution and adherence to established turnaround times.
- Review employment contract details, including compensation, benefits, work arrangements, and related provisions, to ensure accuracy prior to release for signatures.
- Maintain contract templates and supporting documentation, ensuring they remain current and available for manual drafting requirements when system-generated templates are unavailable.
- Ensure that manually drafted, routed, and executed contracts and related documents are properly distributed to relevant stakeholders and stored in designated repositories for recordkeeping and audit purposes.
- Respond to inquiries regarding employment contract terms, annexes, compensation and benefits information, work arrangements, and other contract-related matters.
- Serve as a point of coordination for internal stakeholders seeking clarification on contract requirements, processes, and documentation standards.
- Maintain accurate reports and tracking tools for contracts, amendments, extensions, and related contract management activities, providing timely updates to management as required.
- Participate in meetings with stakeholders and project teams as directed by the immediate supervisor, providing updates, gathering requirements, and documenting relevant action items.
- Provide guidance and support to stakeholders regarding contract management systems, workflows, and related tools to promote operational efficiency.
- Monitor and manage communications through email and other approved channels to ensure inquiries and requests are addressed promptly and appropriately.
- Support onboarding activities related to employment contract execution, including coordination of required documentation and management of contractual timelines.
- Stay informed of applicable labor laws, regulatory requirements, and internal policy updates relevant to employment contracts and contract administration.
- Assist in process improvement initiatives, data validation activities, reporting requirements, and other operational projects assigned by management.
- Perform other duties and responsibilities that may be assigned by the Immediate Head or Supervisor in support of Contract Management operations and business requirements.
To apply, you must be an expert on the following requirements:
- At least 3 years related experience with benefits administration. Exposure to total rewards administration with flexible benefits is highly preferred or its equivalent capacity as HR generalist.
- At least to 3 years related experience in recruitment.
- With exposure to contract management or its equivalent capacity.
- With background and foundation with the standards of the Labor Code of the Philippines.
- Strong command and highly proficient with the English language
