We are looking for a highly organised, detail-oriented, and customer-focused Medical Admin Officer to join our team. This role will support the day-to-day administration of client records, appointments, documentation, and communications within a healthcare environment.

The ideal candidate is a confident communicator with strong computer skills, excellent attention to detail, and the ability to manage multiple priorities while maintaining a high standard of accuracy and professionalism.

Medical administration or medical accounts experience is highly preferred, but it is not required. We are open to candidates with strong administrative and customer service backgrounds who are eager to learn healthcare processes and Medicare requirements.

The main responsibilities of a MEDICAL ADMIN OFFICER include:

Roles and Responsibilities
  • Answer client emails, calls, and live chats in a professional and timely manner.
  • Update and maintain accurate client information in the practice management system (PMS).
  • Upload referral PDFs and other relevant documents to client profiles.
  • Enter client information received via email, chat, or phone into the PMS.
  • Communicate with clients via email, phone, and live chat to:
    • Obtain missing or required information.
    • Answer questions and provide appropriate assistance.
    • Relay relevant information from psychologists.
  • Complete daily operational checklists and assigned administrative tasks.
  • Ensure upcoming appointments are correctly booked, rescheduled, or cancelled.
  • Communicate with psychologists promptly regarding client, appointment, and administrative matters.
  • Follow established processes and procedures to ensure accurate and efficient daily operations.
  • Maintain a high level of accuracy when handling client information and documentation.
  • Assist with other administrative and operational tasks as required.
