We are looking for an Operations Assistant who can help keep day-to-day activities, projects, and communications moving smoothly across US and APAC hours (Global Stakeholders).
The role is a mix of executive assistance, project coordination, and operations support. This person will help manage emails and calendars, follow up on open items, coordinate with suppliers and partners, make calls, support travel/logistics, and proactively keep track of ongoing projects.
The ideal candidate is highly organized, proactive, and dependable, with strong follow-through even when tasks are ambiguous or require figuring things out independently. They should have good written English, solid conversational English, be comfortable using basic AI tools, and be willing to learn.

The main responsibilities of a OPERATIONS ASSISTANT include:
- Support communications across US and APAC hours, ensuring projects have the right resources, coordination, and follow-through.
- Monitor and manage emails, calendars, open projects, and key action items to help keep priorities organized and moving forward.
- Support travel arrangements, logistics, and other administrative tasks as needed.
- Coordinate with distributors, logistics partners, suppliers, and other external partners through email and phone calls.
- Track ongoing projects and follow up on open items to ensure progress and timely completion.
- Provide general executive and operational support - that help keep day-to-day priorities organized and on track.
- Proactively identify items that need attention, follow up with the right people, and help keep projects moving even with limited direction.

- Working hours may be assigned within the existing Shift A, B, or C schedules, depending on operational requirements and the need to support global stakeholders.
- Highly organized and able to manage multiple priorities, tasks, and follow-ups effectively.
- Strong ownership and follow-through, with the ability to see tasks through to completion.
- Strong written and conversational English skills, with the ability to communicate clearly and professionally.
- Resourceful and proactive, with the ability to take initiative and anticipate needs.
- Strong attention to detail, with the ability to keep track of small but important tasks.
- Proactive in communicating updates, following up on open items, and flagging potential issues.
- Comfortable using Microsoft Office, Google Workspace, and basic AI tools, with an interest in learning and adopting new tools to improve productivity.
- Able to work independently while knowing when to ask questions or escalate issues.
- Flexible and dependable, with the ability to support both routine administrative tasks and ad hoc projects.
It will also be favorable if you are knowledgeable in:
- Additional relevant knowledge or experience related to the above requirements will be considered an advantage.
