The People Experience Coordinator is a newly created role that supports the business’s transition to more efficient, consistent, and scalable payroll and people processes across Australia and New Zealand.

The role is responsible for coordinating end-to-end payroll activities, managing payroll-related onboarding and offboarding processes, and acting as the key internal liaison with the external payroll provider (Employment Hero). This role plays a critical part in ensuring payroll accuracy, compliance, and a positive employee experience during periods of growth and change.

The main responsibilities of a PEOPLE EXPERIENCE COORDINATOR include:

Payroll Coordination & Oversight

  • Coordinate end-to-end payroll processing across Australia and New Zealand in partnership with the external payroll provider
  • Ensure payroll inputs (new starters, changes, terminations, allowances, leave) are accurate, complete, and submitted on time (Employment Hero)
  • Review payroll outputs for accuracy, completeness, and compliance before finalisation
  • Own payroll calendar management and ensure key deadlines are met
  • Maintain accurate payroll records and documentation

Key Deliverables

  • Payroll processed accurately and on schedule each pay cycle
  • Compliance with legislative and audit requirements
  • Payroll documentation maintained accurately

Payroll Systems & Employee Lifecycle Management

  • Manage payroll and HR system onboarding and offboarding processes, including:
  • Contract generation and employment documentation
  • Payroll system setup and variation maintenance
  • Ensure employee data is accurately maintained across payroll and HR systems
  • Ensure documentation supports payroll and HR processes
  • Maintain system workflows and approvals that support payroll processing
  • Support system improvements that enable consistency and scalability

Key Deliverables

  • Employee data maintained confidentially and with high level of accuracy
  • Payroll impacting changes entered prior to payroll deadlines
  • HR and payroll system records align
  • Workflow processes comply with internal policy and employment legislation

External Payroll Provider Management

  • Act as the primary point of contact with the outsourced payroll provider
  • Coordinate payroll submissions, clarifications, corrections, and reconciliations
  • Escalate and resolve payroll issues in a timely and professional manner
  • Monitor service delivery and escalate issues when necessary
  • Support ongoing improvement of payroll processes

Key Deliverables

  • Timely payroll submissions
  • Payroll issues resolved within agreed service timeframes
  • Effective working relationship with external payroll provider (Employment Hero)

Payroll Queries & Issue Resolution

  • Manage and respond to payroll-related queries from employees and managers across both jurisdictions
  • Investigate discrepancies and resolve issues efficiently and confidentially
  • Provide guidance and clear explanations of payroll outcomes, deductions, and entitlements
  • Identify recurring issues and contribute to process or system improvements

Key Deliverables

  • Payroll queries responded to within agreed service standards
  • Payroll issues resolved efficiently and accurately
  • High level of employee satisfaction with payroll support

Enterprise Systems Support

  • Provide operational support to the Head of IT in relation to enterprise system user management activities
  • Assist with user setup, access changes, and deactivation requests in line with onboarding and offboarding processes
  • Support the management and resolution of user access and permissions queries, ensuring requests are actioned accurately and in accordance with internal controls and approval requirements
  • Update and maintain system workflows throughout employee lifecycle changes

Key Deliverables

  • IT set up completed prior to employee start date
  • Timely resolution of system support requests
  • Accurate and up to date system records
  • Process improvements identified where possible

 

To apply, you must be an expert on the following requirements:

  • Experience coordinating payroll processes, ideally in a multi-entity or trans-Tasman environment
  • Working knowledge of Australian and/or New Zealand payroll requirements, or ability to learn quickly
  • Experience supporting employee lifecycle processes (onboarding and offboarding)
  • Strong attention to detail, numerical accuracy, and ability to manage multiple deadlines
  • Effective communicator with a practical, solutions-focused mindset
  • Collaborative, discreet, and adaptable, with an interest in improving scalable processes
  • Service orientated approach to supporting employees
  • Strong proficiency with enterprise systems and Microsoft Office tools
