The Assets Operations Specialist is responsible for the operational execution of IT and physical asset lifecycle activities including tracking, deployment, maintenance coordination, and disposal. This role ensures that assets are managed efficiently and accurately from acquisition to retirement, in alignment with organizational policies, data security standards, and compliance requirements.

Working closely with IT, Procurement, Facilities, and cross-site operations teams, the Assets Operations Specialist helps ensure optimal asset utilization, audit readiness, and continuous improvement in asset handling practices.

The main responsibilities of a ASSET OPERATIONS SPECIALIST include:

Key Responsibilities

Asset Lifecycle Management

  • Maintain accurate records of all company-owned assets including IT hardware, peripherals, and office equipment.
  • Tag and document assets at every stage: receipt, deployment, relocation, return, or disposal.
  • Track asset status and movement across departments, teams, and remote sites using asset management systems.

Deployment & Recovery

  • Coordinate timely provisioning of IT assets for new hires and retrieval during offboarding or role changes.
  • Ensure accurate documentation of asset issuance and return (e.g., asset forms, user acknowledgments).
  • Support physical logistics, including packaging and shipping for remote users or inter-office transfers.

Asset Maintenance & Support

  • Monitor asset health and coordinate preventive maintenance, repairs, or warranty claims.
  • Maintain service logs and performance records for IT hardware and equipment.
  • Liaise with IT support and vendors for timely issue resolution and parts replacement.

Inventory Control

  • Conduct periodic and spot audits of physical inventory across office locations.
  • Reconcile physical count with system records to identify discrepancies or missing items.
  • Report inventory variances and aging assets to the Asset Manager.

Compliance & Documentation

  • Adhere to internal control procedures, data security protocols, and asset handling policies.
  • Ensure secure disposal of decommissioned or obsolete assets following environmental and data privacy regulations.
  • Maintain audit-ready records of asset transfers, write-offs, and maintenance activities.

Reporting & Insights

  • Generate asset utilization and inventory reports as required.
  • Highlight underused, lost, or aging assets for review and action.
  • Provide support for procurement forecasting and cost optimization initiatives.

Minimum Qualifications

· Bachelor’s degree in Information Technology, Computer Science, Business Administration, Logistics and Supply Chain Management, or a related field

· Preferably with at least 2 to 5 years of experience in Asset Management.

 

It will also be favorable if you are knowledgeable in:

Technical Knowledge in IT-related assets.

Proficient in Microsoft Office applications (Word, Excel, PowerPoint), OODO, PowerBi, or any tools related to Asset Management

The successful candidate must submit the following pre-employment requirements

  • Scanned copy of valid NBI Clearance
  • Accomplished Medical or PEME Slip (covered by KMC)
  • 2x2 & Half body picture with white background
  • Proof of government numbers (TIN, SSS, Pag-ibig, & Philhealth)
  • Photocopy of 2 valid IDs – front & back (government-issued)
  • Clear copy of your Birth Certificate (PSA or NSO)
  • Accomplished HR Forms & Promissory Note (will be provided by KMC’s Onboarding Team
