I. POSITION PURPOSE:
The HRIS Support Specialist will provide day-to-day support for HRIS systems, ensuring data integrity, user satisfaction, and operational efficiency. This role supports the Senior HRIS Engineer in maintaining and enhancing HR systems, resolving user issues, and contributing to process improvements. Additionally, the HRIS Support Specialist plays a key role in data migration activities, supporting extraction, transformation, validation, and security of HR data during system implementation.

MAJOR ACCOUNTABILITY:
KEY MEASUREMENT:
· Provide first-level support for HRIS users, resolving issues related to system access, data entry, and reporting.
· Ensure accuracy and integrity of HR data through regular audits and validations.
· Assist in documenting system processes, user guides, and training materials.
· Support the implementation of automation and integration solutions under guidance from the Senior HRIS Engineer.
· Monitor system performance and escalate issues as needed.
· Participate in testing and validation of new features, enhancements, and system updates.
· Collaborate with HR, IT, and other departments to understand user needs and improve system usability.
· Maintain confidentiality and compliance with data protection regulations.
· Data Extraction and Transformation: Lead and coordinate data extraction and transformation activities, including managing data loads into different tenant builds and working with source systems and data extraction tools.
· Data Preparation and Control: Assist regional HR teams in extracting, preparing, mapping, and controlling data before submission to migration consultants.
· Data Validation and Audit: Control and test data post-migration, perform audits, reconciliation, and exception reporting to ensure accuracy and completeness.
· Data Migration Scope: Execute migration of employee HR data and related content from legacy systems to new solutions, including recruiting and training data.
· Data Mapping and Validation: Map legacy data at a detailed level and validate data conversion extracts, transformation activities, and project plan timings.
· Data Security and Privacy: Implement data security and privacy measures during data handling and transfer, identify anomalies, and ensure confidentiality in all migration activities.
I. BUSINESS EXPERTISE:
- Basic understanding of HR processes and data management.
- Familiarity with Workday HCM or similar.
- Experience in supporting users in a corporate environment.
- Ability to follow established procedures and contribute to documentation.
- Experience with data migration, extraction, and validation processes is a plus.
II. MATRIX ORGANISATION / FUNCTIONAL LEAD
- Reporting to the Global Technical Lead
- Collaborates with HRIS project management team, data lead, and regional HR teams.
III. PROBLEM SOLVING:
- Ability to troubleshoot user issues and identify root causes.
- Proactive in suggesting improvements to system workflows and user experience.
- Capable of handling multiple support requests and prioritizing effectively.
- Skilled in identifying and resolving data migration and validation issues.
IV. INTERPERSONAL SKILLS:
- Strong communication skills for interacting with users and team members.
- Collaborative mindset and willingness to learn from senior engineers.
- Detail-oriented and committed to delivering high-quality support.
Ability to maintain professionalism and confidentiality in all interactions.
The main responsibilities of a HRIS SUPPORT SPECIALIST include:
I. QUALIFICATIONS AND EXPERIENCE:
- Bachelor’s degree in Information Systems, Human Resources, or related field.
- 2+ years of experience in HRIS support or HR operations.
- Exposure to Workday or similar HRIS platforms.
- Experience with data audits, reporting, and documentation.
- Familiarity with integration platforms like Workato is a plus.
- Authorized to work lawfully in the relevant jurisdiction.
- Experience with Japanese culture.
- Experience with Japanese Management methodologies, like kaizen, KJ methodology, etc.
