About the Role
We are seeking a highly organized and execution-focused Operations Manager to drive day-to-day administrative and operational excellence across our US-based business.
This is not a strategy-heavy role. Instead, it is ideal for a hands-on operator who thrives in structured environments, ensures follow-through, and independently navigates complex coordination across teams and vendors.
You will serve as the operational backbone of the organization, directly supporting Darren and ensuring that business functions, HR administration, compliance, and vendor partnerships run seamlessly.
Scope of the Role
- Heavy administrative and operational execution
- Cross-functional coordination (Operations, Vendors, HR Consultant, Offshore & Onsite Teams)
- Full HR administrative ownership
- Independent vendor and contract management
- Execution of directives with minimal supervision

The main responsibilities of a OPERATIONS MANAGER include:
Business & Operational Execution
- Act as the primary operational liaison between Darren and internal teams.
- Ensure all directives are implemented with proper tracking and completion.
- Audit and optimize workflows across Slack, Asana, ERP, and communication systems.
- Oversee operational execution across offshore (15) and onsite (5) staff.
- Maintain structured reporting cadence and ensure departmental accountability.
- Independently resolve operational bottlenecks and escalate only when necessary.
People Operations (Full HR Administration Ownership)
- This role carries full HR coordination responsibilities (administrative execution level):
- Attendance monitoring and reporting
- PTO and leave management tracking
- Onboarding and offboarding process execution
- Performance discussion coordination and documentation
- Handling employee concerns with mature judgment
- Coordinating with external HR consultant for compliance matters
- Maintaining employee records and documentation
- Ensuring HR compliance across offshore and US-based operations
Vendor & Facility Management
- Serve as primary point of contact for:
- Facility maintenance vendors
- Cloudstaff coordination
- oKMC coordination
- Independently negotiate vendor contracts and renewals
- Handle billing disputes and service-level issues
- Track maintenance schedules and ensure service completion
- Optimize vendor costs while maintaining quality standards
Compliance & Financial Administration
- Maintain organized cloud-based records for:
- Business insurance
- Tax filings
- Licensing requirements
- Track US-based payments and expense deadlines
- Ensure documentation is audit-ready at all times
- Monitor contract compliance and risk exposure
Team Structure
- Manages approximately 20 staff
- 15 Offshore Team Members
- 5 Onsite US-Based Staff
- Direct operational support to Darren
- Works cross-functionally with department leads

Qualifications
- 5+ years in Operations, Administrative Management, or HR Operations
- Experience supporting US-based e-commerce or retail businesses
- Proven experience managing HR administrative functions
- Experience handling offshore + onsite teams preferred
- Advanced proficiency in:
- Shopify or similar ERP
- Slack
o Asana / Monday.com
o Google Workspace
· Bachelor’s degree in business, Management, or related field
